Questions to Ask Your Venue Before Signing the Contract

Choosing your wedding venue is one of the biggest decisions you’ll make during the planning process. It sets the tone, impacts your budget, and determines how many vendors you’ll need to hire. Before signing that contract, make sure you’re asking the right questions — because not all venues operate the same way.

Here’s what you need to clarify before making it official:

1. Is This a Full-Service Venue or Venue-Only?

This is one of the most important questions you can ask.

Full-Service Venue

A full-service venue often includes:

  • Tables & chairs
  • Linens
  • Plates, glassware & flatware
  • Catering staff
  • Bartenders
  • Sometimes in-house catering

Why this matters:
Your vendor list may be much shorter. You may not need to rent tables, hire separate bartenders, or coordinate additional staffing. It simplifies logistics and can reduce stress — but sometimes offers less flexibility.

Be sure to ask:

  • What exactly is included?
  • Are there upgrade options?
  • Are there quantity limits?
  • Are setup and breakdown included?

Venue-Only (Blank Space)

A venue-only space typically provides just the location — sometimes tables and chairs, sometimes not.

You may need to bring in:

  • Rental company (tables, chairs, linens, place settings)
  • Caterer
  • Bartenders
  • Servers
  • Possibly restrooms (for outdoor venues)
  • Lighting & draping
  • Setup and breakdown crew

Why this matters:
Your vendor count increases significantly. This means more contracts, more coordination, and more moving parts. It can create a completely custom look — but it requires more planning and often a coordinator to manage it smoothly.

2. What Vendors Are Required, Preferred, or Approved?

Every venue handles vendors differently, and this impacts both your flexibility and budget.

Preferred Vendors List

A preferred list usually means:

  • Vendors the venue enjoys working with
  • They know the layout and processes
  • Things tend to run smoothly

You can typically choose outside vendors, but you may need approval first.

Approved Vendors List

An approved list is more restrictive. This means:

  • You must select from their vetted vendors
  • Outside vendors may not be allowed

This can simplify decision-making — but it limits options.

Questions to ask:

  • Am I required to use in-house catering or bar services?
  • Is there a fee for bringing in an outside vendor?
  • Can I choose my own planner or coordinator?
  • Are vendors required to provide certificates of insurance?

Your total vendor count and flexibility change drastically depending on these policies.

3. What Is Included in the Rental Time?

  • How many hours are included?
  • Does that include setup and breakdown?
  • When can vendors arrive?
  • Are there overtime fees?

A six-hour rental that includes only event time is very different from six hours including setup and breakdown.

4. Who Is On-Site the Day Of?

Many venues provide:

  • A venue manager (for the building)
  • A catering manager (for food & beverage)

Important distinction:
A venue manager is not the same as a wedding coordinator. They manage the property — not your timeline, decor placement, or vendor arrivals.

Make sure you understand who is responsible for what.

5. What Are the Rules & Restrictions?

Before signing, clarify:

  • Alcohol policies
  • Decor restrictions (candles, sparklers, confetti)
  • Noise ordinances
  • End times
  • Insurance requirements
  • Cleanup expectations

Hidden restrictions can quickly change your vision — and your budget.

6. What Are the Hidden Costs?

Ask directly:

  • Are there service fees?
  • Is gratuity included?
  • Is there a cake-cutting fee?
  • Is there a bartender fee?
  • Are there security requirements?

Full-service venues may bundle costs. Venue-only spaces may require outside rentals. Either way, transparency protects your budget.

Why This Matters

Understanding whether your venue is full-service or venue-only impacts:

  • Your total vendor count
  • Your coordination needs
  • Your design flexibility
  • Your overall budget
  • Your stress level

The right venue isn’t just about how it looks — it’s about how it operates.

Before signing, slow down and ask the detailed questions. Your future self (and your wedding day timeline) will thank you.
